Appointment Setter

When a family books a call or signs up for a webinar, you’re the first person they talk to. You call soon after, confirm details, answer early questions, and help them show up ready. Fast follow-up and a friendly phone presence matter most here.

Section 01

Who we are

INSPIRATE helps motivated students punch above their weight class and earn acceptances at selective schools where they’ll actually thrive, without the “Ivy or bust” pressure cooker. Founded in 2023, we work with students from 9th grade through application season.

Our students

Motivated high schoolers, 9th through 12th grade, aiming for selective schools. Their families want a clear plan, not more pressure.

What we do for them

Activities and summer programs early on. Then school lists, application strategy, personal statements, and supplements. One team from 9th grade to decision day.

How we work

Regular 1:1 meetings with a written recap after each one. Progress tracked for every student. Monthly quality reviews so nothing slips, and a student portal that keeps it in one place.

Where you fit

You sit between our marketing and our Enrollment Advisors. Marketing brings families in; you make sure they show up to their consultation ready.

Section 02

What you’ll own

You own the first conversation every new family has with us, and you make sure no one slips through the cracks.

Core

Fast first calls

Call families soon after they book a call or register for a webinar. The faster the call, the more families show up.

Core

Confirm and prepare

Confirm the time, the student, and what they want to talk about, so the Enrollment Advisor walks in prepared.

Core

Early questions

Handle the basics about how INSPIRATE works, and know when to save a question for the consultation.

Ongoing

A clean CRM

Log every call and outcome in GoHighLevel so no family falls through the cracks.

Ongoing

No-shows and reschedules

Follow up with families who miss their call and reschedule them kindly.

The short version: Call fast. Be warm. Confirm everything. Get them there ready.

Section 03

What great looks like

Three things make this role work.

Pillar 01

Speed

A family that hears from us within minutes is far more likely to show up than one that hears back the next day.

Pillar 02

Warmth

Parents are often anxious about college. A friendly voice is the first sign they’re in good hands.

Pillar 03

Accuracy

Right time, right student, right notes. Small mistakes cost a consultation.

Section 04

How you’ll be measured

You’re measured on how quickly you reach families and how many of them show up.

Speed and reach

  • Time to first callWithin 3 minutes of a family booking a call.
  • Contact rateThe share of new bookings you actually reach.

Show-ups

  • Show rateThe share of booked families who show up to their consultation.
  • Notes qualityEnrollment Advisors walk in knowing who they’re talking to.

Section 05

Who this role is for

Most of this job happens on the phone. We’re looking for someone who’s good at that and enjoys it.

You’re a fit if

  • You’ve done phone outreach or appointment setting before
  • You sound friendly and confident on the phone, even on your 40th call of the day
  • You’ve used GoHighLevel (what we use) or a CRM like it, or can learn one fast
  • You can work set hours on weekday evenings and weekends, when families are free
  • You follow up without being told

This isn’t for you if

  • You dread picking up the phone
  • You want to hard-sell on the first call
  • Details like time zones and the spelling of names don’t seem important to you

Section 06

Schedule & structure

This role is fully remote and part-time or full-time.

  1. Fully remote

Work from wherever you do your best work.

  2. Part-time or full-time

Most of the work happens on weekday evenings and weekends, when families are free.

  3. Employee

This isn’t a contract position. You join as an employee because we’re building a long-term partnership with you, not something short-term.

  4. Getting started

Your first two weeks are mostly onboarding and training: how we work, the tools we use, and the standard we hold. Then you start making calls on your own, with the team behind you.
